GENERAL Rules & Requirements
The Barrie Fair Vendor Application is neither an offer, nor guarantee.
Only fully completed application forms will be considered for approval.
MANDATORY HOURS
⭐ VENDOR HOURS | FRI 11am – 9pm / SAT 10am – 9pm / SUN 10am – 5pm
REQUIREMENTS
– Your booth must be prepared, open and staffed during all Mandatory Hours
– By applying, you are committing to the Mandatory Hours
– Restocking must take place before Public Fair Hours (Thurs: 4p-11p / Fri: 10a-11p / Sat: 9a-11p / Sun: 9a-6p)
– Bring lighting for your booth
– Vehicles are NOT permitted to enter the grounds during Public Fair Hours
– Vendors must ensure proper weights, stakes, or blocks are used to secure their tent and or/displays.
– Vendors must supply their own equipment.
– You may set up your booth on the day before the Barrie Fair opens.
Applications are reviewed on a first-come, first-served basis using the following criteria: quality, diversity, demand and fair history.
PRODUCT LIST
– A detailed list of products for sale/display must be provided on the application
– Any changes to the product list must be pre-approved by the EDAS
LOT SELECTION
– Changing your lot location without EDAS approval is NOT PERMITTED, and will result in removal from the fairgrounds, without a refund.
– Subletting of lots is NOT PERMITTED, and will result in removal from the fairgrounds, without a refund.
– On very rare occasions, it may be necessary for us to change your lot number. If that happens, we will contact you as soon as possible.
OUTDOOR EVENT
– Please prepare for any weather, including extreme heat, excessive rain, and cold temperatures.
– The wind is VERY STRONG at the Essa Agriplex. Prepare your setup accordingly.
– Vendors may not move, regardless of weather conditions.
OTHER
No roaming vendors.
Please do not leave your booth to attract customers. Let customers come to your pre-assigned vendor space. Surveys, sales and demonstrations are to be conducted only in the space provided, unless pre-approved by EDAS.
No alcohol is permitted (some exceptions apply).
There is no smoking/vaping permitted in or around your vendor lots.
No amplified sound.
Amplified speaking or music is not permitted from any vendor unless pre-authorized in writing by EDAS. Please be mindful and courteous to others around you.
Medical Emergencies
For medical situations or personal emergencies, we ask that you please contact the office at the Essa & District Agricultural Society and arrangements will be made to address your space.
The sale of COTTON CANDY and CANDY APPLES is strictly prohibited as per our contract with midway services. Thank you for your understanding.
⚠️ ZERO tolerance for bullying, verbal or physical misconduct by any vendor towards the general public, fair staff/volunteers or fellow vendors. Any misconduct will result in immediate removal from the fairgrounds.
Removal From Fairgrounds
The following actions will result in removal from the fairgrounds, without refund:
– Late arrival
– Restocking during Public Fair Hours
– Disrupting other vendors

Simcoe Muskoka District Health Unit permit REQUIRED for food vendors.

⚠️ Failure to provide the Simcoe Muskoka Health Unit this form may result in cancellation and refunds will not be provided. The staff and representatives at the Essa & District Agricultural Society are not responsible for your vendor requirements with the health unit.

Generator ESA permit if applicable for food vendors.

Spaces that exceed 400 sq. ft require a permit from Essa Township. https://essatownship.on.ca
INSURANCE Requirements
Certificate of Insurance must be received.
Certificate of Insurance must include:
- $2,000,000 liability coverage
- Essa & District Agricultural Society named s additionally insured
- Specific move-in and move-out dates
Your application will not be approved until a Certificate of Insurance has been received.
