Position Title: Barrie Fair Volunteer Coordinator
Location: Essa Agriplex, Thornton, ON
Reports To: Barrie Fair Committee
Time Commitment: Flexible hours leading up to the event; Full availability during the Fair dates
Role Summary
The Volunteer Coordinator plays a key role in ensuring the Barrie Fair runs smoothly by recruiting, organizing, and supporting the team of volunteers who make the event possible. This position is ideal for someone with strong organizational and interpersonal skills, who is passionate about community engagement and enjoys working in a dynamic environment.
Key Responsibilities
- Volunteer Recruitment:
- Develop and execute a volunteer recruitment plan using social media, local organizations, and community networks.
- Review applications and assess applicants to match them with suitable roles.
- Volunteer Scheduling & Coordination:
- Create and manage volunteer schedules to ensure adequate coverage in all areas of the Fair.
- Communicate volunteer roles and expectations clearly before and during the event.
- Serve as the primary point of contact for all volunteers during the Fair.
- Training & Onboarding:
- Organize and facilitate the volunteer training session approximately 1-2 weeks before the Fair, including orientation on Fair rules, safety procedures, and role-specific tasks.
- Distribute necessary materials (e.g., Fair maps, T-shirts, name tags) prior to the Fair.
- Support & Engagement:
- Motivate and support volunteers, fostering a positive and inclusive atmosphere.
- Address questions or concerns promptly and ensure volunteers feel valued and appreciated.
- Post-Event:
- Assist in collecting feedback from volunteers and preparing a post-event evaluation report.
- Assist the Barrie Fair Committee in prganizing a volunteer appreciation event or initiative.
Skills & Qualifications
- Excellent organizational and time-management skills.
- Strong communication and interpersonal abilities.
- Comfortable working in a fast-paced environment and adapting to last-minute changes.
- Previous experience coordinating teams or events is an asset.
- Proficiency in basic office software & communication (e.g., Google Sheets, email, texting).
